Out with the old and in with the new! For far too long, small businesses have taken an old-school approach to IT services and security. In other words, they wait until something goes wrong before they call an IT services company and request help.

Back in the day (think 1990s and 2000s), this approach worked, more or less. External threats, such as hackers and viruses, were still few and far between. A data breach wasn’t on anyone’s mind. So, it made sense to wait until something went wrong before taking action.

In IT circles, this is known as the “break-fix” approach. Something breaks, so someone has to come in to fix it. And they charge for their services accordingly. If something small breaks and it takes a short time to fix, you could expect a smaller bill. If something big breaks, well, you can expect a pretty hefty bill.

The break-fix approach is 100% reactive. As many businesses have learned, especially in more recent years, as the number of threats have skyrocketed, it can get very expensive. IT specialists are an in-demand field. With just about every business relying on the Internet and Internet-connected devices in order to operate, there’s a lot of opportunity for something to go wrong.

This is exactly why you can’t rely on the reactive break-fix model anymore. If you do, you could be putting your business at serious risk. In some cases, the mounting costs and damages done could put you out of business.

If your IT services partner says “no” to any or all of these questions, it might be time to look for a new IT services partner.

If they say “yes” (or, even better, give you an emphatic “yes”), it’s time to reevaluate your relationship with this company. You want to tell them you’re ready to take a proactive approach to your IT support, and you’ll be
happy to have them onboard.

Far too many small businesses don’t bother with proactive support because they don’t like the ongoing cost (think of it as a subscription for ongoing support and security). They would rather pay for things as they break. But these break-fix services are more expensive than ever before. Format your document

The Styles gallery contains predefined formatting options for text. You can also add your own styles, or those you use frequently, to the gallery. By saving your own style preferences, you can apply them anytime without having to manually format everything. Just follow these steps:

  1. Select the text you want to format as a new style (e.g., a heading or a certain phrase).
  2. Specify the formatting you want on the mini toolbar that appears. For instance, click Bold and Red if you want the text to appear as such.
  3. Click the More arrow in the lower-right corner of the Styles gallery. Select Create a Style. This will open the Create New Style from Formatting dialog box.
  4. Give the style a name and click OK. Your new style will appear in the Styles gallery, ready for you to use anytime.

Look for and insert images faster

With Word, there’s no need to open your browser to look for images for your document. Just place the cursor in the area where you want to insert the photo, click the Insert tab and select Online pictures (type “clip art” in the search box if that’s what you need), select an image, then click Insert.

Edit a PDF file

Word’s PDF editing function allows you to make quick changes to PDF files without having to download and use a PDF editing app or software. But before you can edit a PDF file in Word, you have to convert it to a file format that Word can display. Follow these steps:

  1. Click File > Open > Browse.
  2. Choose the PDF file you want to edit, then click Open. Click OK to make a copy of the PDF file and convert its contents into a format that can be opened in Word. (Note: The original PDF will be preserved.)
  3. Make edits to the copy of the PDF file.
  4. When you’re done, click File > Save as > PDF.

Implement processes that remove users when they leave the company and consider scheduling a regular audit. Ideally, conduct an audit once every six months to ensure your cloud user list is up to date.

Ask your cloud provider whether they can proactively monitor your account and notify you of potential issues before they escalate into major problems. This is especially important if you have a pay-as-you-go license that charges based on resource or storage consumption.

These types of attacks are known as phishing, and they can be remarkably clever. For example, cybercriminals may masquerade as high-profile companies like Amazon, Facebook, or Bank of America to catch their victims off guard. They create emails with a sense of urgency by claiming that there’s an issue with your account and that you should send them information or click on a link to “confirm” your personal details. This link will either install malware on your device or lead you to a fraudulent site.
Even if there was a genuine issue with your account, legitimate companies would never ask something so suspicious over email. If you get these messages, contact the company directly through a verified website or phone number — not the contact details on the email.

Monitor account activity

Periodically watch over your account activity. Make sure to limit access privileges to apps if you want to ensure maximum privacy and security. Also, check for any suspicious activities in your logs, such as unusual devices and IP addresses that have accessed your account. This indicates that hackers may have successfully broken into your account. If this is the case, sign out of all web sessions and change your password as soon as possible.

Laptop batteries also have limited life spans. So no matter what you do, yours will age from the very first time you charge it. This is because as time passes, the ions in your battery will become less efficient in flowing from the anode to the cathode, thereby reducing your battery’s capacity.

What else can degrade your laptop battery?

Besides being naturally prone to deterioration, your battery can degrade due to higher-than-normal voltages, which may happen when you keep your battery fully charged at all times. Even though a modern laptop battery cannot be overcharged, it will be damaged if you leave your laptop plugged in all the time.

Both extremely high temperatures (above 70°F) and low temperatures (32–41°F) can also reduce battery capacity and damage components. The same goes for storing a battery for long periods of time, which can lead to extreme discharge.

  • When you need to store your battery for a few weeks, you should recharge your battery to 40% and, if possible, remove it from your laptop for storage.
